This privacy policy explains how Laser Protection Adviser UK Ltd (“we”, “us”) collects and uses personal information when you visit this website or contact us through it. We are the data controller for the information described below. You can contact us about anything in this policy at laserprotectionadviser@gmail.com.
1. Information we collect
Contact form. When you send an enquiry through the contact form we collect the details you enter: your name, email address, phone number (optional), clinic or venue name, location (council borough), laser model and manufacturer, your message and your confirmation that you accept our terms and conditions. Please do not include client or patient details in your message.
Technical information. To protect the form from automated abuse we temporarily record a scrambled (hashed) version of your IP address for a short period after you submit the form. It cannot be used to identify you and is deleted automatically. Our web host also keeps standard server logs, which may include your IP address, browser type and the pages you visited.
Email. If you email us directly, we hold your email and any information in it for as long as we need it to deal with your enquiry and any resulting work.
2. How we use your information
- To respond to your enquiry and provide a quote.
- To arrange and carry out Laser Protection Adviser services you have asked for, including site visits, documentation and certificates.
- To keep records we are required to keep for safety certification, accounting and legal purposes.
- To protect the website from spam and misuse.
We do not use your information for marketing unless you ask us to, and we do not sell or share it with third parties for their own marketing.
3. Legal basis
Under UK data protection law (the UK GDPR and the Data Protection Act 2018) we rely on the following lawful bases:
- Taking steps at your request before entering into a contract, and performing that contract, when you ask for a quote or book our services.
- Legitimate interests, for responding to general enquiries, keeping business records and keeping the website secure. We have considered these interests against your rights and do not believe they override them.
- Legal obligation, where we must keep records, for example for tax purposes.
4. Who we share information with
Enquiries sent through the contact form are delivered to us by email. We use the following service providers, who process information on our behalf and only on our instructions:
- Our website hosting provider, which stores the website and its server logs.
- Our email provider (Google), which delivers and stores email.
Where your council requires an Expert Medical Practitioner (EMP) for treatment protocols, we will only pass on your clinic’s contact details with your agreement. We may also disclose information where the law requires it.
Our online Core of Knowledge course is hosted by Thinkific. If you enrol, Thinkific collects your details under its own privacy policy, which is shown when you sign up.
5. International transfers
Our email provider may store information on servers outside the UK. Where this happens, transfers are covered by the UK’s adequacy regulations or by standard contractual safeguards approved for use in the UK.
6. How long we keep information
- Enquiries that do not lead to work: up to 12 months, so we can follow up if you come back to us, then deleted.
- Clients: for the length of the engagement and then for 6 years after our last service, as safety certificates, reports and invoices may need to be produced for councils, insurers or HMRC.
- Anti-spam records: deleted automatically within a few minutes of submitting the form.
7. Cookies and third-party content
This website does not set advertising cookies. The contact form uses a short-lived technical token to confirm the form was sent from this site. Page fonts are loaded from Google Fonts, which means Google receives your IP address when the font files are requested.
n
Google Analytics. We use Google Analytics 4 to understand how visitors use the site (pages viewed, how you arrived, device type). It sets cookies only if you choose Accept on the cookie notice; if you decline, no analytics cookies are set and you can change your mind by clearing the site’s data in your browser. IP addresses are not stored by Google Analytics 4 and we do not use the data to identify individuals. Google’s own privacy policy applies to the data it processes.
8. Your rights
You have the right to ask us for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and in some cases to have it transferred to another organisation. To exercise any of these rights, email laserprotectionadviser@gmail.com. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
9. Security
We take reasonable steps to keep your information secure, including limiting access to it, using secure email accounts and protecting the website against automated abuse. No method of transmission over the internet is completely secure, so please avoid sending sensitive information through the form.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed, and the current version is always available on this page.
